We are the data controller for the personal data described in this notice, except where we act as a processor on behalf of a client. That case is explained under Client engagement data below.
We have not appointed a Data Protection Officer, as we are not required to. Privacy questions come to the address above and are answered by the company's director.
What we collect, and why
1. When you visit this website
We use Cloudflare Web Analytics, which is privacy-first by design. It sets no cookies, does not track you across websites, and does not build a profile of you. It records aggregate page views, referring sites, approximate country, and browser and device type.
We also store one item on your device: a theme preference (light or dark), saved only if you click the theme button. It is stored in your browser's local storage, never transmitted to us, and contains nothing but the word “light” or “dark”. You can clear it at any time through your browser settings.
This site is hosted on Cloudflare, which processes technical connection data, including your IP address, to deliver the page and protect against attacks.
Lawful basis: legitimate interests in understanding whether our website works and keeping it secure. The theme preference is strictly necessary to provide a feature you have explicitly requested.
2. When you book a call or contact us
Booking a call means we hold your name, email address, employer, a broad indication of your monthly inference spend, what you serve models on, and anything you choose to tell us about your situation. If you email us instead, we hold that correspondence.
Lawful basis: legitimate interests, or steps taken at your request prior to entering a contract.
3. When we contact you first
We approach businesses we believe have a problem we can solve. To do that we hold business contact information (name, role, employer, work email, professional profile) obtained from public sources such as company websites, professional networks and public filings. We do not buy contact lists.
Lawful basis: legitimate interests in business-to-business marketing. We have assessed that a targeted approach to a named professional about a problem within their remit is something they would reasonably expect, and is unlikely to override their rights.
You can stop this at any time. Reply asking us to stop, or email privacy@ezconsulting.ai, and we will remove you and keep a minimal suppression record so we do not contact you again.
4. Call recordings
We do not currently record or transcribe calls. We take notes by hand.
If we introduce recording or automated transcription, we will update this notice and name the provider before doing so, tell you at the start of the call, and ask before recording begins. If you would rather we did not, say so and nothing else about the conversation changes.
Lawful basis: consent, which you may withdraw at any time, if and when recording is introduced.
5. Client engagement data
Our work analyses billing data and inference telemetry: cost records, token counts, model configuration, performance metrics. This is overwhelmingly not personal data.
We do not require, and do not ask for, access to our clients' customer data, model inputs and outputs, or production databases. Our access is read-only throughout.
Where we hold personal data belonging to a client, typically the contact details of their staff or personal data appearing incidentally within technical logs, we act as a processor on that client's instructions, governed by a Data Processing Agreement. That client's own privacy notice, not this one, governs how their data is handled.
Separately, as a controller, we hold ordinary business contact and contract records for the people we deal with at client organisations.
Lawful basis: performance of a contract, and legitimate interests in managing our business.
Who we share it with
We do not sell personal data, and we do not share it for anyone else's marketing.
We use these service providers, who process data on our behalf under contract:
| Provider | Purpose |
|---|---|
| Cloudflare | Website hosting, domain, security, cookieless analytics |
| Google (Workspace) | Email, documents, calendar |
| Cal.com | Call scheduling |
| monday.com | Pipeline and engagement tracking, including business contact records for prospects and clients |
We also disclose personal data where the law requires it, or to establish or defend legal claims.
Transfers outside the UK
Some providers above process data outside the UK, including in the United States. Where that happens, transfers are protected by UK adequacy regulations, the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, or another safeguard permitted under UK data protection law.
How long we keep it
| Data | Retention |
|---|---|
| Website analytics | Aggregate only, as retained by Cloudflare; no individual records |
| Enquiries that don't become clients | 12 months from last contact |
| Prospect contact data | Until you ask us to stop, or 24 months after last meaningful contact |
| Suppression records (do-not-contact) | Indefinitely. This is how we honour your request. |
| Call recordings and transcripts | Not applicable while we do not record. If introduced: 6 months, unless part of a live engagement. |
| Client engagement working data | Deleted within 30 days of delivering the report |
| Contracts, invoices and accounting records | 7 years, as required by UK tax law |
Your rights
You have the right to: access the personal data we hold about you; have it corrected; have it erased; restrict or object to how we use it, including an absolute right to object to direct marketing; receive it in a portable format; and withdraw consent where consent is our basis.
To exercise any of these, email privacy@ezconsulting.ai. We will respond within one month.
We do not use automated decision-making or profiling that produces legal or similarly significant effects.
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or 0303 123 1113.
Changes
We will update this notice as our services change. The date at the top shows the current version. Material changes affecting people we already hold data about will be notified directly.
